Section 01
Overview

Photo Flight Tools ("PFT", "we", "us", or "our") is a mission planning platform operated by Red Wing Aerials LLC, a Texas-based aerial photography company. This Privacy Policy explains how we collect, use, and protect information when you use our platform at photoflighttools.com.

By using Photo Flight Tools, you agree to the practices described in this policy. If you do not agree, please do not use the platform.

The short version: We collect your name, email, and Google account information to run the platform. We use Google APIs to read your calendar and Drive files — only with your permission. We do not sell your data, ever.

Data We Collect

We collect two categories of information:

Information you provide:

  • Name and email address (via Google Sign-In)
  • Organization name and team member information you enter
  • Mission data, target locations, and flight planning information you create
  • Aircraft records and operational settings

Information collected automatically:

  • Google account profile information (name, email, profile photo) retrieved when you sign in
  • OAuth tokens that allow the platform to access your Google Calendar and Drive on your behalf
  • Session data stored in browser cookies to keep you signed in
  • Basic server logs (IP address, browser type, pages visited) for security and performance

Section 03
Google Services & API Data

Photo Flight Tools uses Google OAuth 2.0 to authenticate users and access Google services on your behalf. Specifically, we request access to:

  • Google Calendar — to read mission and flight event data from your calendar for display in planning tools
  • Google Drive — to access KMZ/KML files you choose to use for mission planning
  • Google Profile — your name, email address, and profile photo for account identification

Our use of Google API data is limited to the features described above. We do not use Google user data to serve advertising, and we do not share Google user data with third parties except as necessary to operate the platform (e.g., our hosting provider).

Photo Flight Tools' use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Google Calendar and Drive data is accessed live and is not permanently stored on our servers. OAuth tokens (which allow ongoing access) are stored encrypted in our database and can be revoked by you at any time from your profile settings or from your Google Account permissions page.

How We Use Your Data

We use the information we collect to:

  • Authenticate your identity and maintain your session
  • Provide mission planning, altitude calculation, and crew coordination features
  • Display your Google Calendar events within the planning tools (with your permission)
  • Allow access to Google Drive files you select for use in planning (with your permission)
  • Send Google Calendar invites to crew members when missions are published
  • Manage your organization's team members and role-based access
  • Improve and maintain the platform (aggregated, non-identifying analytics only)
  • Communicate with you about your account when necessary

We do not use your data for advertising, profiling, or any purpose beyond operating the platform.

Section 05
Data Sharing & Disclosure

We do not sell, rent, or trade your personal information. We share data only in the following limited circumstances:

  • Within your organization: Team members you invite can see mission data and crew assignments you create. Organization owners can see member names and emails within their org.
  • Service providers: We use IONOS for hosting and database services. They process data on our behalf under appropriate data protection agreements.
  • Google APIs: Data you authorize us to read from Google services is accessed via Google's APIs under the terms you agreed to when connecting your Google account.
  • Legal requirements: We may disclose information if required by law, court order, or to protect the rights and safety of our users or the public.
  • Business transfer: If Red Wing Aerials LLC is acquired or merged, your data may be transferred as part of that transaction, with notice provided to you.
Section 06
Data Retention

We retain your account information for as long as your account is active. If you close your account or request deletion, we will delete your personal data within 30 days, except where we are required to retain it for legal or regulatory purposes.

Mission and planning data you create is retained while your account is active and deleted with your account. Google OAuth tokens are deleted when you revoke access or close your account.

Server logs are retained for up to 90 days for security purposes.

Security

We take reasonable technical and organizational measures to protect your data, including:

  • HTTPS encryption for all data in transit
  • Encrypted storage of OAuth tokens
  • Role-based access controls limiting data access within the platform
  • Hosted on IONOS infrastructure with physical and network security controls

No method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we work to protect your data using industry-standard practices.

If you believe your account has been compromised, please contact us immediately at security@photoflighttools.com.

Section 08
Your Rights

You have the following rights regarding your personal data:

  • Access: You can view your account information in your profile settings at any time.
  • Correction: You can update your name and profile information in your profile settings.
  • Deletion: You can request deletion of your account and all associated data by emailing privacy@photoflighttools.com.
  • Revoke Google access: You can revoke PFT's access to your Google account at any time from your profile settings or from Google Account settings.
  • Data portability: You can request a copy of your data by emailing us.
  • Opt out: Since we do not use your data for marketing or advertising, there is nothing to opt out of in that regard.

Section 09
Children's Privacy

Photo Flight Tools is intended for professional use by licensed pilots, photographers, and aerial operations professionals. The platform is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
